Excellent role for an experienced Personal Assistant to work closely with C-Suite levels in RSA.

This role will involve your time being spent managing the dairy of the CEO, collating packs for several high priority Executive Meetings, managing incoming communication and information, proactively identifying and escalating issues that may cause inefficiencies with specific regard to time management.

You will interact with a wide variety of high profile internal and external customers and stakeholders. You will use your exceptionally strong administrative, organisation, time management and communication skills to provide an effective and efficient service for the CEO & CFO, their teams and the entire function of the CEO Office.


Key Responsibilities:

  • Proactively manage CEO’s calendar to ensure the CEO has time to prep for any key meetings
  • Lead on the creation of itinerary planning for visiting executives / executive team offsites and arranging logistics
  • Actively manage the forward-looking agenda for the Executive Team weekly meetings ensuring all content has been collated in advance of meetings and ensuring all actions are being followed up
  • Actively manage CFO diary and office support where required
  • Preparing correspondence, letters, itineraries, briefing papers and presentations for meetings/conferences etc.  Act as lead coordinator on high profile company events
  • Liaise with the relevant stakeholders to obtain any background relating to messages received
  • Follow-up on any pending matters, working in sync with CEO of on-going matters
  • Manage the re-scheduling and re-arranging of appointments and meetings where necessary allowing appropriate time for required journeys
  • Organising travel and itineraries to ensure optimum use of CEOs’ time in meeting their requirements and priorities
  • Screening, prioritizing and annotating incoming information and communications (telephone, email, paper); responding, re-directing or referring to the appropriate contact
  • Handling sensitive and/or confidential information and/or documentation with appropriate discretion & confidentiality and having regard for the physical security of associated paperwork and electronic files
  • Providing technical support to audio/video conference meetings, including the setup of related facilities and equipment
  • Administration & preparation of CEO’s expenses for approval, ensuring they are submitted in a timely and efficient manner. Also checking executive team’s expenses for accuracy. ensuring all is correct prior to CEO approval
  • Support the wider executive team to ensure that directives, deliverables & KPIs of the CEO Office are achieved on-time, all-time
  • Effectively communicate to ensure clarity into the business but also safeguard and uphold the highest level of confidentiality of the CEO Office
  • Excellent relationships built across the company –locally, regionally and at Group level
  • PA must be up to date on existing policy and procedures
     

Requirements:

  • 5- 8 years experiences in PA to C-Suite levels is essential
  • Experience with dealing with Senior Leaders & High-Profile Stakeholders
  • Previous experience in supporting Board members
  • Experience in dynamic reporting lines
  • Strong experience in full suite of office programmers; MS Office
  • Fluent in English is essential
